General Information


Housing Information

The AESC has arranged for a block of rooms at the Ritz Carlton Amelia Island Resort for the dates of our conference.  The cut-off date for reservations is Friday, July 1, 2016... so be sure to make your reservations before then!

Reservation methods

The hotel has set up a special website for AESC members make reservations.  However, they suggest that if you have special requests, such as adjoining rooms, that you call the toll-free group reservations number, to assure that appropriate space is available.

  • Phone reservations:  866-763-2960  (be sure to identify yourself at attending the American Eye Study Club conference)
  • Please note that our groups rates are available three days before/after our conference (subject to availability), so don't get confused if you see dates on the Ritz Carlton reservations webpage that are different from our meeting dates.

Room Types & Prices

The AESC group housing block has the following room options and prices:

These prices are subject to state and local taxes in effect at the time of check-in (11% as of December 2014).
Group rates will be honored three days before or after the conference on a space-available basis.+

Additional Important Information

  • All reservations must be accompanied by a first-night room deposit or guaranteed with a major credit card.
  • Cancellations -- Guests canceling their complete reservation at least seven days before arrival will forfeit their deposit.  Guests cancelling less than seven days before arrival will be responsible for the full cost of their planned stay (room and tax).  The resort may waive these provisions in the case of a medical or family emergency.
  • Cutoff Date -- Reservations must be received by the hotel on or before Friday, July 1, 2016.  After this date, reservations will be on a space-available basis at a rate that is no more than 25% higher than the group rate.
  • No-shows and early departure -- "No-shows" will be charged the full room revenue for the dates of the reservation.  For any reserved rooms vacated prior to the schedule departure date, the guest will be charged the full rate for the complete planned stay.
  • Arrival/Departure - Check-in time is 4:00 p.m.; Check-out time is before 12:00 noon.
  • Service Charges (as of 2014)
    • Valet Parking - $20 per vehicle, per night (self-parking is not available)

Program Information

The success of the AESC and its meetings are a direct result of the participation of the members.  Our sessions are very interactive; discussion, challenges to thinking and questions are strongly encouraged.  Be thinking about lectures, interesting cases, or mini-symposiums you would like to present!  As a reminder, talks will be seven minutes in length with eight minutes set aside for discussion.  Panel discussions or symposia can be longer... be sure to discuss with the program chair before submitting.

Spouse Book Club

Amy Welcome has selected a poignant story for this year's Book Club -- "When Breath Becomes Air" by Paul Kalanithi.

If you are not renting a car for your stay on Amelia Island, here are some other options you may want to consider.  PLEASE NOTE - This year, the AESC is not coordinating pre-arranged airport transportation. The following are offered as a resource... we have not "vetted" any of the listings below.

Standard taxi fares appear to be around $50, but as always, it's best to ask the driver before you depart!
