Note -- the last event of the conference is on Thursday evening.  Most members will plan Friday departures.

WE ENCOURAGE YOU TO PLAN YOUR ARRIVALS FOR SUNDAY.  Since this is high season at the resort, weekend bookings will be difficult to impossible.

Update on Housing (4/18/2023) -- We have been in touch with the hotel housing manager.  It appears there are no more one or two bedroom suites.  HOWEVER, the hotel does have connecting rooms, as well as two and three bedroom condos.  The Condos are in the Residences at Sweetgrass.  Both hotels (Sweetgrass Inn and the Boardwalk Inn) and the Residences at Sweetgrass are all very close to the Sweetgrass Pavilion where our meeting will take place.  Also, there may be some houses available which are spread around the resort area.

Prices -- We have been advised the 2-bedroom condo average price is $557 and the 3-bedroom price is $609.  There may be some variation in the price for particular units since these are all privately owned.  We will need to get individual price quotes for the Boardwalk Homes which also are privately owned.  Please note that the Boardwalk Homes are strictly one-week rentals (i.e., Saturday to Saturday).  DO NOT attempt to book condos or Boardwalk Homes directly... please contact Kathy Paul for assistance.

IMPORTANT Deposit and Cancellation Policies --

PLEASE NOTE -- Cancellations after the group housing cutoff date (June 23) might result in an "attrition" charge imposed on the club if the cancelled room nights are not resold by the hotel.  As of the cutoff date, our revenue is locked in.  So, if a member cancels a night (such as early departure) or cancels the entire reservation means those nights included in our group room commitment now won't generate the associated revenue.  If the hotel does not resell those rooms, we may end up being billed for it.

  • Sweetgrass Inn and Boardwalk Inn Guest Rooms, and meeting attendee cancellations made less than 7 days prior to arrival will lose their one night deposit due at booking.
  • Residences at Sweetgrass Rooms and Suites: One night payment due at booking and remainder due at 30 day prearrival cutoff. Both deposits are nonrefundable for cancellations.
  • Wild Dunes Vacation Homes and Condos: 50% deposit is due at booking and remaining 50% is due at 30 days prearrival. All deposits are nonrefundable if the booking is cancelled.

Book Within the AESC Room Block at the Wild Dunes Resort!

The AESC has reserved rooms at the Wild Dunes Resort for your benefit.  Reserve your accommodations early for the best chance of getting your first choice, as the number of rooms held is limited and, of course, the hotel certainly could sell-out all of their rooms at any time.  By making housing reservations within the AESC room block at Wild Dunes, you receive a substantial discount on the price of your accommodations

PLEASE NOTE . . . As is true for all groups who negotiate special discounted pricing for conference attendees, the American Eye Study Club has signed a contract with the Wild Dunes Resort that "guarantees" a certain number of hotel rooms will be booked during the dates of our meeting. If we do not achieve a minimum number of overnight accommodations, the Club faces huge financial penalties for unused sleeping rooms.  This potentially can cost all members.  By staying at the Wild Dunes instead of other off-property accommodations, you help the Club to meet its obligations, plus you experience the camaraderie that is a significant part of being a member of the American Eye Study Club!
